How can I get reports easier

Barry the Boss:
Grand, so just make sure that you have those reports on my desk by close of business. I’ve a board meeting at 9am and I need to have them on time.

Accounts Andy:
Sure, no problem. Don’t worry, I will have them done. (AHHH – first I heard about this board meeting!!!). How can I get reports easier?

Accounts Annie:
How on earth are you going to manage that? Big Barry asked me for a whole pile of reports last month while you were on holidays…it took me about 3 days I am not joking you. I was so rattled by the end of it, I wasn’t even completely sure that I had done the reports right. All that cutting, pasting, copying and refreshing. I can’t tell you how relieved I was to hand over the reports and get on with my work. When he called me later that day, I was a nervous wreck. I thought I had messed up the reports, but he was just calling me into a credit control meeting. Whewww!!!!

Accounts Andy:
I haven’t a clue how I am going to do it. A bit of notice would have been good!!!! I am already way behind with my own work today. It wouldn’t be so bad if I could easily find the information – instead I have to ring around the guys downstairs and check figures and check statuses on projects, orders etc. Why are things so dis-organised and messy? Why is only half the information in one place and the rest is scattered around on spreadsheets, post-its, docket books. I better get cracking – otherwise I’ll be here all night. Wish me luck!!

Accounts Annie:
Good luck, but I reckon we should say something to Big Barry. Surely we must be over-complicating things here. Why can’t he just get his own reports or even better why can’t they just magically appear on his laptop when he shows up in the morning? Why do we have to spend so long extracting the information from here, there and everywhere? It’s so tedious it’s ridiculous.

Accounts Andy:
Here you go Barry – here are the reports you asked me for. 

Barry the Boss:
Brilliant, thanks a million. Oh I forgot to mention I also need another three or four variations on this report – I will email you across what we are looking for…it shouldn’t be a big deal, it’s just looking at the same information from some other angles.

Accounts Andy:
It’s actually not quite that simple. There’s a fair bit of work to try to pull the information back out in the way you need. Send it on to me and I will take a look, but I am not at all sure I will be ready for your board meeting tomorrow morning.

Barry the Boss:
Oh I didn’t realise. I thought you just ran the reports and tweaked them slightly. Let’s leave this one for next month and sort out a better reporting solution in the meantime. Why don’t you research some options and let me know what you think we need to do.

Accounts Andy:
No problem – will do

Accounts Annie:
See you tomorrow? Oh how did you go with the report?

Accounts Andy:
It’s done but the good thing is that I am about to find a business intelligence software solution for next month. Happy days!!!!!! Off for a few pints. See you tomorrow…
